Position Summary

University Facilities,Infrastructure & Operations is seeking a Program Development Coordinator. This is a full-time (1.0 FTE ), 12-month, fixed term professional faculty position. Reappointment is at the discretion of the Associate Vice President.

University Facilities, Infrastructure and Operations ( UFIO ) consists of the following units Capital Planning and Development, Facilities Services, Specialized Administrative Services, and Transportation Services. UFIO supports Oregon State University’s land grant mission by superviseing the design and development, land use planning, real estate and space management needs for OSU’s built environments; by designing, constructing, maintaining, and supporting safe, comfortable, sustainable, and efficient facilities; by providing safe, sustainable transportation programs and services; and by providing excellent customer service for the University.

Specialized Administrative Services ( SAS ) provides support UFIO by building and maintaining technology and GIS systems; providing finance, budget, and accounting services; and providing tools and strategies to clearly communicate the processes, policies and projects across UFIO .

Transparency, engagement, outreach and customer service are key goals of UFIO . As outreach program coordinator of UFIO , this person will be an integral member of the communication team and support the efforts of the unit by providing outreach and engagement planning, programming and implementation. This position will assist by bringing strategic thinking and planning to the policies, governance, promotion and communications within the unit.

The coordinator will manage and coordinate the UFIO outreach program including development, implementation, assessment and engagement.

Position tasks

40% Policy and Communication Coordination
Manages and maintains systems and processes to track, record, analyze, archive and report on policies and standards working closely with policy owners.
Serves as the project manager and works with appropriate UFIO policy owners, OSU Compliance and other significant parties to coordinate and update policies, standards and rules.
Reviews, updates, and maintains UFIO policy manuals.
Assists the web and communication manager with website reviews and updates, data collection, and communication of UFIO mission and OSU’s Strategic Plan, by utilizing technical writing and research expertise; and following OSU branding guidelines.
Develops departmental promotional and presentation material.

25% Community Outreach
Designs and develops public information, promotional and presentation materials in various formats for print and electronic viewing to help meet unit goals and raise consciousness of UFIO , its services and its positive impacts on OSU statewide.
contacts with UFIO leadership abilities and units to plan, coordinate, and facilitate events and outreach opportunities on and off campus, and develop promotional and educational materials for these events.
Serves as the Minority Women Emerging Small Business ( MWESB ) coordinator for UFIO .
Coordinates department vendor relations and activities.
Organizes the Capital Planning and Development vendor presentation series.
Establishes and maintains relationships with internal and external partners.
Responds to inquiries related to UFIO responsibilities, projects and work.

25% Curation and Retrieval
Manages the OSU Plan Center.
Manages, receives, evaluates, curates, maintains, organizes, retrieves and distributes the electronic and physical records and archives of UFIO .
Ensures compliance with university, state, and federal policies and regulations related to records retention.
Transfers hard copy records into digital formats for archival purposes.
Determines disposition of records including permanent or temporary storage according to established policies.

10% Other unit support
Assists customers by phone, email or in person.
Responds to routine questions regarding UFIO .
Performs administrative tasks as assigned.
Participates in meetings and committees as requested by manager.
Performs other significant tasks as assigned by manager.

Minimum/Required Qualifications

Bachelor’s degree in Business, Communications, Marketing, Planning, Public Policy, or a related field.

3 years of practice providing administrative support for one of the following: outreach; communications; marketing; information storage, curation and retrieval.

Proficient with office technology (email, word processing).

practice with spreadsheets.

capability to establish and maintain relationships with staff and leadership abilities in a large, complex organization.

practice creating printed materials and digital graphic design using tools such as Photoshop, Illustrator, and InDesign.

practice organizing and facilitating outreach meetings.

practice coordinating and prioritizing multiple projects, priorities and timelines.

Excellent verbal and written communication expertise.

Demonstrated commitment and practice promoting and enhancing diversity, equity, and inclusion.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must prosperously complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

knowledge of the function of communication within a land grant university or other organization with an educational mission.

Working Conditions / Work Schedule

This position typically works in an office environment with extended periods working on the computer. Occasional attendance to on-campus and off-campus sites as related to community outreach including evening meetings.

This position requires a clear and unambiguous commitment to compliance of all National Collegiate Athletic Association (NCAA) regulations for Division I (FBS) universities.
