The Department of Oncology, Division of Hematologic Malignancies, is currently searching for a Full Time Sr. Administrative Coordinator to coordinate office services such as purchasing, records control and other administrative adjunct activities for the Division and the Division Director. Interprets operating policies of the University; exercises independent judgment in the resolution of administrative problems. Assists the Division Director in communicating with Nursing, Development, Social Work, and the Clinical Research Office. Monitors and reconciles expenses for Division Director's lab.

Specific tasks and Job responsibilities:
   » Serves as administrative adjunct to the Division Director and supports three other divisional faculty
   » Coordinates and arranges Division Director's calendar and travel and processes expense reports; prioritizes, handles and triages all phone calls and messages to the Director's office; develops, revises, coordinates Division Director's lab meeting schedule
   » Greets visitors; opens, sorts, and screens mail; prepares agendas for faculty meetings and takes and distributes minutes; prepares correspondence on behalf of the Director
   » Coordinates and implements office services such as purchasing and equipment maintenance
   » Reconciles lab expenditures for Director and two other faculty members
   » Assists with special event planning for the Division
   » Directs parents' calls to clinic or Attending on call
   » Drafts letters of recommendation and letters of support for the Division Director edits all letters requiring Division Director's signature
   » Prepares and updates biosketches and CVs for Division Director and three other faculty members
   » supervises storage of Pediatric Oncology divisional files (Iron Mountain)
   » Ensures Division Director's licenses are current
   » Prepares and submits reimbursements for Division Director's lab members and lab members of 2 other faculty members
   » Assists in training new employees
   » Assists in training clinical fellows in writing letters for grant submissions

Special knowledge, expertise, and abilities:
   » Word processing, Excel, MS Access, PowerPoint. Excellent verbal and written communication expertise.
   » knowledge of clinical trials.
   » Demonstrated capability for self-direction and initiation required.
   » Demonstrated capability to work independently and part of a team.
   » Excellent interpersonal and organizational expertise.
   » supervises office operations and trains others as appropriate.

Final applicant for this position may be required to complete expertise assessments appropriate to position description.

Appropriate qualifications:
HS Diploma/ GED and five years related practice required. Additional education my substitute for required practice as permited by the JHU Equivalency Formula.

JHU Equivalency Formula: 30 undergraduate degree credits or 18 graduate degree credits = 1 year of practice. For jobs where equivalency is permitted, up to two years of non-related college coursework may be applied towards the total minimum education/practice required for the respective job.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide continuing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
